How to use it

  1. Before the first service, replace the sample zones and tasks with the areas and frequencies in the account's signed scope of work. Delete rows the scope does not include and add rows it does.
  2. Treat the frequencies as starting points, not standards. Match them to the building's use, occupancy and the agreed scope.
  3. Put daily tasks on every service visit. Spread weekly tasks across the week and monthly tasks across the weeks of the month so the detail work does not pile up on one visit.
  4. On each visit, the crew marks completed rows done and initials them. Use the notes column for skipped tasks, blocked areas and supply shortages.
  5. Carry a skipped task to the next visit and tell the supervisor instead of dropping it from the schedule.
  6. Mark work outside the recurring scope, such as carpet extraction, floor restoration or exterior glass, as periodic or specialty work and get a separate work order before assigning it.

The CSV opens in Excel, Google Sheets or Numbers: one column per field, one row per checklist item. The printable version below has the same fields, with the corrective-action record on its own table.

The client account and the building or site.
Service date
The date of this visit.
Crew lead
Who is responsible for the visit.
Zone
The zone, such as reception, open office, restrooms or break room.
Task
The scheduled cleaning task.
Frequency
How often the task is scheduled. Choose: daily · weekly · monthly · as needed.
Done
Mark when the task is completed on this visit.
Initials
The crew member who completed it.
Notes
Skipped task and reason, blocked area or supply shortage.
